W-2 Forms are electronically filed using the SSA Business Services Online
(BSO) system with a file created by WAMS.

You must still print and mail employee copies by January 31st!
All copies of the employee's Form W-2 is printed on one sheet of paper. Perforrated paper can be purchased to allow
the forms to be easily separated. W-2 instructions must be supplied to the employee
and can be printed on the back of the form using duplex printing or in a second printing pass.
Required Envelopes
You will still need SafeGuard envelopes DW4S or DW4SS or an equivalent envelope from another vendor!
Note: The statement "Important Tax Return Document Enclosed" must appear on the outside of the envelope in a bold and conspicuous manner.
SSA COPIES: If you are NOT electronically filing, but mailing forms to the Social Security Administration (SSA)
Forms filed with the SSA must be printed on RED INK pre-printed forms.
What you need:
- LW3 - W-3 (red form) - at least one W-3 form for each tax form type (941/943)
- LW2A - Copy A (red form) - for at least 1/2 the number of
employees needed (2 employees per form). Not necessary if you file federal
information electronically via the internet.

If you are ordering pre-printed forms, we recommend ordering extra forms to prepare for potential printing problems.
OPTION 1: Plain Paper 4-UP 8.5" x 11" Single Sheet for All Employee Copies Recommended!
Print forms on plain paper. In most cases, each page contains all 4 employee copies on a single sheet. This means
you can print all 4 employee copies in one pass and then simply fold the form and
stuff it in the accompanying windowed envelope.
What you need:
- Plain Paper (at least 9-pound)
- DW4S or DW4SS (self-sealing) envelopes for at least the total number of employees needed.
OPTION 2: 4-UP 8.5" x 11" Single Sheet for All Employee Copies
This type of form contains all 4 employee copies on a single sheet. This means
you can print all 4 employee copies in one pass and then simply fold the form and
stuff it in the accompanying windowed envelope.
What you need:
- LW2A for at least 1/2 the number of
employees needed (2 employees per form). Not necessary if you file federal
information electronically via the internet.
- LW2D1 for at least 1/2 the number of
employees needed if you intend to print and keep a copy for
yourself (the employer).
- LW3 - at least one W-3 form for each tax form type (941/943)
- L4UP for at least the total number of employees needed (1 employee per form)
- DW4S or DW4SS (self-sealing) envelopes for at least the total number of employees needed.
OPTION 3: 2-UP 8.5" x 11" Forms
These are the traditional forms. 2 employees are printed on each page and you
must print the forms multiple times (once for each W-2 copy the employee will receive)
and then tear and collate the forms by hand.
What you need:
- LW2A for at least 1/2 the number of
employees needed (2 employees per form). Not necessary if you file federal
information electronically via the internet.
- LW2D1 for at least 1/2 the number of
employees needed. Double this if you intend to print and keep a copy for
yourself (the employer).
- LW2B for at least 1/2 the number of
employees needed
- LW2C for at least 1/2 the number of
employees needed
- LW22 for at least the total number of
employees needed (allowing you to give 2 copies to each employee)

DWCL - envelopes for at least the total
number of employees needed (one per employee)
- LW3 - at least one W-3 form for each tax form type (941/943)
OPTION 4: 4-UP 8.5" x 14" Pressure Sealed Mailer
Requires pressure sealer machine
Like the 4-UP forms above, each page contains all employee copies. However,
if you have pressure sealing machine, there is no need to stuff envelopes. You
can simply print the forms and feed them to the pressure sealing machine and it
will fold and seal the forms to a mailable size.
What you need:
- LW2A for at least 1/2 the number of
employees needed (2 employees per form). Not necessary if you file federal
information electronically via the internet.
- LW2D1 for at least 1/2 the number of
employees needed if you intend to print and keep a copy for
yourself (the employer).
- LW3 - at least one W-3 form for each tax form type (941/943)
- PS1287 for at least the total number of
employees needed (1 employee per form)

units per package (e.g. LW2D1500 is 500-pack of LW2D1).
